# Date & time settings

> Set your timezone, weekly opening hours, and public holidays or other closed days, so nobody books a pickup or return when you are closed, and control who may book outside those hours.

The **Date & time settings** page is where you define your organization's timezone, weekly working schedule, and named closed days such as public holidays in Requiply. These settings control when customers can book pickups and returns, and they also guide internal booking creation so your team does not accidentally schedule bookings outside business hours. Members whose [permission group](https://requiply.com/docs/en/guides/settings/organization/accounts/permission-groups) has **Allow booking outside of working hours** can still pick other times on purpose, after confirming them (see [Booking outside working hours](#booking-outside-working-hours)).

You can find this page under **Settings → Organization → Date & Time**, at [`/settings/org/date-time-settings`](https://app.requiply.com/settings/org/date-time-settings).

## Why this page matters

Date & time settings act as the calendar guardrails for your organization. Requiply uses these values whenever it needs to understand what "business hours" mean for your company.

Filling this out correctly means:

- Your **client portal** only offers pickup and return times that fit your real availability.
- Your **internal booking creation page** uses the same working-hour limits, helping staff and managers avoid scheduling mistakes. The exception is members whose group has **Allow booking outside of working hours**.
- Your **timezone** stays consistent across booking and schedule calculations.
- Your **closed days** are respected, both the weekly days off and the [holidays and closed periods](#holidays-and-closed-days) you list, so customers cannot choose a pickup or return when your team is not operating.
- Your team has one shared source of truth for when pickups and returns should happen.

If this page is not configured carefully, customers or team members may create bookings at the wrong local time, outside working hours, or on days when your organization is closed.

## Fields

### Timezone

The timezone your organization operates in. Requiply uses this for booking and schedule calculations, including the live current-time preview shown on the page.

It also decides **how rental days are counted for pricing**. Per day and per month prices are counted on your local clock, so a booking from Saturday 10:00 to Monday 10:00 is always 2 days, even over the weekend the clocks change for daylight saving (when the real elapsed time is 49 or 47 hours). Hourly prices count real elapsed hours. Every place that prices a booking uses the same rule: booking creation, date, item, and service changes, the client portal, the API, invoices, and documents. Until a timezone is saved, days are counted in UTC.

- **Required**
- Must be a valid timezone
- Defaults to **UTC** if no valid timezone is saved yet
- Uses a searchable dropdown with supported timezone options

### Working schedule

Your weekly availability, configured day by day from Monday through Sunday.

Each day has:

- **Working toggle** — whether your organization accepts pickups and returns on that day.
- **Start Time** — the earliest allowed working time for that day.
- **End Time** — the latest allowed working time for that day.

Only days marked as working are used as available booking days. Days switched off appear as **Off** in the preview and are blocked from the picker flows that use these settings. The only exception is the staff date picker for members allowed to book outside working hours, described in [Booking outside working hours](#booking-outside-working-hours).

## Working hours

Working hours are entered in **24-hour format** using time pickers. The current page stores times as values like:

- `09:00`
- `13:30`
- `18:45`

The time picker uses **15-minute steps**, so it is easy to keep availability aligned with practical pickup and return windows.

For every working day:

- Start time must be a valid time.
- End time must be a valid time.
- Start time must be before end time.

If a day is marked as not working, its times are ignored for booking availability.

## Copy from previous

Each day after Monday has a **copy from previous** button. Use it when several days share the same schedule.

Example:

1. Set Monday to `09:00 - 18:00`.
2. Click **Copy from previous** on Tuesday.
3. Tuesday gets the same working toggle, start time, and end time as Monday.

This is useful when your weekday schedule is mostly the same and you only need to adjust weekends. For single closed dates, such as Christmas or a stocktaking day, use [Holidays and closed days](#holidays-and-closed-days) instead of switching a weekday off.

## Holidays and closed days

The weekly schedule says which weekdays you work. **Holidays and Closed Days**, under the schedule on the same page, lists the specific dates you are closed on top of that: public holidays, a company day off, a stocktaking week, or a summer break. Each entry has a name, so staff and customers can see why a day is closed.

### What a closed day does

A holiday works like a weekday switched off in the schedule:

- **Pickup and return cannot fall on it.** The day is greyed out in the booking calendars of [Add booking](https://requiply.com/docs/en/guides/bookings/add-booking/booking-dates#picking-booking-dates), [Edit booking dates](https://requiply.com/docs/en/guides/bookings/changing/dates#holidays-and-closed-days), the [client portal](https://requiply.com/docs/en/guides/online-booking/booking-flow#_3-choosing-dates), and the website booking widget. Hovering the day shows the holiday name, for example *Christmas Day*. Staff whose group allows booking outside working hours can still pick it in the app, with a confirmation.
- **A rental may run through it.** A booking picked up on December 23 and returned on December 27 is fine, even with December 25 closed. Only the pickup day and the return day have to be working days. Holidays never block availability or reduce the stock that is free.
- **The server enforces it.** A booking created through the app, the [public API](https://requiply.com/docs/en/developers/overview), or the AI assistant with a pickup or return on a holiday is refused with the holiday name, for example *Booking start falls on a non-working day "Christmas Day" (friday 2026-12-25, timezone Europe/Kyiv). Nearest working day for the pickup: thursday 2026-12-24, 10:00-18:00.* Refusals are written in your organization's language (English or Ukrainian).
- **Full-day buffers skip it.** With a **Full Day** buffer in [Booking duration](https://requiply.com/docs/en/guides/settings/bookings/booking-duration#how-the-full-day-buffer-works), a return that falls on a holiday holds the equipment until the end of the next working day, the same as a return on a closed Saturday.
- **The AI inbox treats it as outside working hours.** If the [Conversations AI assistant](https://requiply.com/docs/en/guides/conversations/ai-and-handoff) is set to answer only during or only outside working hours, a holiday counts as outside working hours all day.

Members whose group has **Allow booking outside of working hours** can still pick a holiday on purpose, the same way they can pick a closed weekday: the day stays selectable, every time pill is orange, and saving asks for confirmation. See [Booking outside working hours](#booking-outside-working-hours).

### Adding a closed day

1. Open [Settings → Organization → Date & Time](https://app.requiply.com/settings/org/date-time-settings).
2. Under **Holidays and Closed Days**, click **Add date**. The **New closed day** dialog opens.
3. Enter a **Name**, for example *Independence Day* or *Studio stocktaking*. Up to 100 characters.
4. Under **Date or period**, click one day for a single date, or click the first and the last day for a period. Both ends are included.
5. Switch on **Repeat every year** for a holiday on the same date every year, such as Christmas. Leave it off for a one-off closure.
6. Click **Add**. The row appears in the table.
7. Click **Save changes** at the bottom of the page. Nothing is stored until you save the page.

</tbody>
</table>

### The holidays table

- Rows are sorted by the next time each holiday happens, so the nearest one is on top.
- A yearly holiday shows its next date without a year and an **Every year** tag.
- A one-off closure shows its exact dates. Once it is over, it turns grey with a **Past** tag and moves to the bottom. It no longer affects anything and can be deleted.
- The pencil (**Edit**) opens the **Edit closed day** dialog. The trash icon (**Delete**) removes the row.
- Edits and deletions, like additions, are stored only when you click **Save changes**. **Cancel** on the page leaves without saving them.

Dates are calendar days in your organization's [timezone](#timezone).

<note>

**Movable holidays need a new entry each year.** **Repeat every year** keeps the same month and day. A holiday whose date changes every year, such as Easter, has to be added as a one-off date for each year.

</note>

<note>

**Moving from Booqable?** The [Booqable import](https://requiply.com/docs/en/guides/settings/integrations/data-migration) brings your Booqable closure periods in as holidays, named after the closure or *Closed (Booqable)*. Closures that already ended are skipped, and one longer than 366 days is cut to its first 366 days.

</note>

### Who can change holidays

Everyone in the organization sees the holidays in the booking calendars. Adding, editing, and deleting them needs access to organization settings, the same as the rest of this page. Holidays are available on every plan.

### In the mobile app

The mobile app follows the same holidays: in the booking date picker a holiday cannot be chosen as the pickup or return day, and the holidays of the month on screen are listed under the calendar with their name and dates. Holidays are managed in the web app.

## Schedule preview

The right side of the page shows a **Schedule Preview** that updates as you edit.

The preview shows:

- The selected timezone display name.
- The current time in that timezone.
- Each weekday's configured hours.
- **Off** for days that are not working days.
- **Upcoming closed days**: the next five holidays or closed periods with their dates, for example *Christmas Day, Dec 25*. The list is hidden when no holiday is coming up.

Use this preview to catch timezone mistakes before saving. If the current time looks wrong, the selected timezone is probably not the one your organization should use.

## Saving changes

- **Save changes** activates only when you've changed the timezone, the working schedule, or the holidays.
- **Cancel** returns you to the Organization info page.
- Changes are validated before saving.
- If the timezone is invalid, you'll see an error message.
- If any working day has an invalid time range, you'll see an error message.

After a successful save, Requiply stores the timezone, the full seven-day working schedule, and the list of holidays for your organization. Holidays you added, edited, or deleted in the table are written in the same save.

## Booking outside working hours

For customers the working schedule is a hard limit. For staff it is the default, and a [permission group](https://requiply.com/docs/en/guides/settings/organization/accounts/permission-groups#the-permissions-a-group-can-grant) can lift it with **Allow booking outside of working hours** (section **Booking creation**, under **Settings → Organization → Accounts → Account groups**). The permission is on for **Administrators** by default and can be switched off for them. It is off for new groups.

The permission changes the staff date picker on [Add booking](https://requiply.com/docs/en/guides/bookings/add-booking/booking-dates#booking-outside-working-hours) and [Edit booking dates](https://requiply.com/docs/en/guides/bookings/changing/dates#times-outside-working-hours):

<table>
<thead>
  <tr>

  </tr>
</thead>

<tbody>
  <tr>

  </tr>

    <td>

    </td>

    <td>

    </td>
  </tr>

  <tr>
    <td>
      <strong>
        Pills outside the schedule
      </strong>
    </td>

    <td>
      Not offered
    </td>

    <td>
      Light orange, with the tooltip <em>

      </em>

      . A selected one is solid orange instead of green.
    </td>
  </tr>

  <tr>
    <td>

    <td>
      The server rejects times outside working hours
    </td>

    <td>
      A confirmation dialog appears first
    </td>
  </tr>
</tbody>
</table>

With the permission, the pickup time is still preselected at the opening time and the return time at the closing time, so the whole-day grid does not start you at midnight.

When a pickup or return is outside working hours, saving opens an **Outside of working hours** dialog. On Add booking the confirm button is **Create booking**; on Edit booking dates it is **Save dates**. **Cancel** returns to the form without saving.

<warning>

**Customers always get working hours only.** The permission never applies to the public **client portal** or to the website AI chat widget: both only offer times inside the working schedule. Through the public API, only calls made with a **secret** API key can pass `allowOutsideWorkingHours`; a **publishable** key that sends it gets a 403 error.

## Common scenarios

### A weekend rental over the clock change

A camera goes out on Saturday at 10:00 and comes back on Monday at 10:00, on the weekend the clocks go back. Real time elapsed is 49 hours, but Requiply charges **2 days**, because per day and per month prices are counted on your local clock in the saved timezone. The same booking on any other weekend is also 2 days. See [Timezone](#timezone).

### Setting normal weekday hours

1. Select your organization's timezone.
2. Leave Monday through Friday switched on.
3. Set each weekday to your working hours, such as `09:00 - 18:00`.
4. Switch Saturday and Sunday off if your team is closed on weekends.
5. Save changes.

### Blocking bookings on closed days

1. Find the day your organization is closed.
2. Turn off the **Working** toggle for that day.
3. Confirm the preview shows **Off**.
4. Save changes.

### Closing for Christmas every year

1. Open [Date & Time](https://app.requiply.com/settings/org/date-time-settings) and click **Add date** under **Holidays and Closed Days**.
2. Name it *Christmas Day*, click December 25 in the calendar, and switch on **Repeat every year**.
3. Click **Add**, then **Save changes**.

From now on no customer or staff member without the outside-hours permission can set a pickup or return on December 25, in any year. A rental from December 23 to December 27 is still possible.

### Closing the studio for a stocktaking week

Add a closed day named *Stocktaking*, click the first and the last day of the week in the calendar, leave **Repeat every year** off, and save. The whole period is closed for pickups and returns. After the week has passed, the row turns grey with a **Past** tag; delete it whenever you like.

### A customer asks why a day is greyed out on the portal

Hover the day: the tooltip shows the holiday name. If the day should be open, delete or edit the holiday here and save. Weekdays without a tooltip are closed because the weekday is switched off in the **Working Schedule**.

### Preventing manager scheduling mistakes

Use this page to match Requiply with your real operating hours. Once saved, the booking pickers use the schedule as a boundary, reducing the chance that a manager or staff member creates a pickup or return outside your team's availability.

Members whose group has **Allow booking outside of working hours** still see every time of day, but anything outside the schedule is orange and has to be confirmed before saving. Switch the permission off in [Permission groups](https://requiply.com/docs/en/guides/settings/organization/accounts/permission-groups) for groups that should never book outside working hours. You can switch it off for **Administrators** too.

### Allowing an after-hours pickup for one client

A manager whose group has **Allow booking outside of working hours** opens [Add booking](https://app.requiply.com/reservations/add), picks a 20:00 pickup pill (shown in orange) or a closed day, clicks **Create booking**, and confirms in the **Outside of working hours** dialog. Customers on the client portal keep seeing working hours only.

## Tips and cautions

<warning>

**Heads up:** Adding a holiday does not move bookings that already have a pickup or return on that day. Check [Manage bookings](https://requiply.com/docs/en/guides/bookings/manage) for the date and move them with [Edit booking dates](https://requiply.com/docs/en/guides/bookings/changing/dates) if needed. The booking calendars stop offering the day only for new choices.

</warning>

<warning>

**Heads up:** The **Add** button in the dialog only puts the holiday in the table. Click **Save changes** at the bottom of the page, or the holiday is lost when you leave.

</warning>

<note>

Keep this page aligned with your real pickup and return operations. These settings are especially important for online bookings because customers rely on the available picker times to know when your team can actually handle the booking.
