Invoice groups
Invoice groups organize one booking invoice into named sections such as phases, locations, activities, or event days. They do not create separate bookings, invoices, supplier purchase orders, totals, or payment schedules.
Create and order groups
Open a booking and find Invoice groups.
- Enter a name and add a group.
- Use the pencil action to rename it.
- Use the up and down actions to set the order.
- Use the delete action to remove it.
Groups belong only to the current booking and can be reused by any owned product, service, or subrental line in that booking.
Assign booking lines
After at least one group exists, use the Invoice group selector beside an owned product, service, or subrental. Clear the selector to leave the line ungrouped.
All reserved units of the same owned product move together. Services and subrentals are assigned by their booking line.
Deleting a group does not delete or cancel anything. Its assigned lines become ungrouped.
How groups appear on the invoice
The invoice PDF is generated in this order:
- Ungrouped product, service, and non-cancelled subrental lines.
- Named invoice groups in the order configured on the booking.
Empty groups are omitted. Within each section:
- owned products and non-cancelled subrentals appear in the normal product/category tables;
- services appear in the section's services table; and
- subrentals show only client-facing names, quantities, marked-up rates, and totals—not supplier cost or margin.
The PDF totals all visible lines across every section, applies the client's pricing discount, and then handles the refundable deposit. A refunded deposit is shown separately. Grouping never changes the booking's overall price.
The invoice is priced by the same calculation as the booking itself, so the figure on the PDF and the figure on the booking page cannot drift apart. That calculation keeps services marked excluded from discounts out of the discount base, and it treats the booking's stored total as the source of truth: where a booking was manually adjusted away from list price, the invoice prints the difference as its own adjustment line rather than quietly re-deriving a different number.
Money on a booking
How a booking's total is built from prices, discounts, and adjustments, how the security deposit is shown, adjusted, and refunded on one booking, and how deposits appear on invoices and in analytics.
