Requiply

Inventory

The equipment, vehicles, properties, and supplier-sourced stock you rent out: where the catalog lives and how it feeds bookings, pricing, and the client portal.

Inventory is where your team manages rentable products, from individually tracked equipment and properties to reusable supplier-sourced subrental products. It is the source of truth that powers bookings, pricing, the client portal catalog, expenses, and maintenance work across Requiply.

Access: The Inventory section is visible only to accounts with the Inventory Management permission.

Pages in this section

  • Manage inventory: browse, search, filter, and maintain every item group and individual unit, with units loaded page by page and searchable by SKU, serial number, or barcode. Run bulk operations like assigning pricing tiers, changing categories, or removing obsolete SKUs.
  • Bundles: group items that are rented together, like a camera kit, into a fixed set with one discount, booked in one pick on the web, in the mobile app and on the client portal. Shown when the Bundles feature is on.
  • Inventory tasks: every maintenance, repair, inspection, or preparation job on a unit, numbered per organization (#1, #2 …). Filter and search the list, open a task on its own page, assign staff, log expenses, and close it as Completed.
  • Add item — create owned stock or, when subrentals are enabled, a reusable supplier-sourced product. Owned quantity provisions individual units; subrental stock is elastically available.
  • Import inventory — bulk-onboard an existing catalog from an .xlsx or .xls spreadsheet. Download the template, preview parsed rows, and run the import in batches.
  • QR codes and barcodes — label every unit with a scannable code, print QR stickers or label-printer barcode PDFs, link the barcodes already on your equipment, and scan any of them with the mobile app to open the unit. Advanced plan.

How inventory connects to the rest of Requiply

  • Bookings pull directly from item groups and their units.
  • Subrental products store a supplier rate, billing unit, supplier, and optional margin override without creating physical units.
  • Goods for sale (type Equipment for sale, when Sales is on) have a flat price and a stock count instead of units. They are sold on their own or on a booking and never appear in availability. See Sale items and stock.
  • Bundles combine item groups into sets with one discount. A booked bundle is written to the booking as ordinary item lines, so availability and returns work as usual. See Bundles.
  • Pricing tiers attach to item groups and drive the prices that show on quotes and invoices.
  • Categories sort products into a tree of categories and subcategories, control which custom fields apply, and are how customers browse the portal catalog. See Categories.
  • Descriptions and specifications tell customers what they rent: a product description and the custom fields marked as filters show on the portal product page, and the specifications become catalog filters. See Inventory settings.
  • Customer booking page lists the items you make publicly bookable.
  • Expenses and tasks roll up against the items they are logged on, so item history stays accurate.
  • Scanning resolves a QR code, a Requiply barcode, a generated EAN-8, or a tied third-party barcode straight to the unit.
  • Setup guide marks the Add your items step complete once two or more item groups exist.
